🌟Must-know Feishu Skills
Note: Click on the hypertexts below to learn detailed steps of using the feature.
1. Create and manage groups
Highlights: linkable to organizational structure, chat history visible to new members
Team administrators can create an all-staff group and department groups in Admin. After creating these groups, all new members will automatically join the all-staff group and the department group according to the department they each belong to, and they will automatically leave these groups once they leave the team or the department.
All team members can create new groups and add up to 5000 members to a group. You can also create a group chat directly from a private chat and sync the chat history with the new group with one click, so the members who join later can quickly understand the context of the conversation.
An external group is a group that contains external contacts and with a red "external" label next to the group name. When you need to work with people outside your team (e.g., a freelancer, contractor), you can create an external group to facilitate cross-team collaboration.
View chat history
When you join a new group, you can view all the group chat history so you can easily get a grasp on the ongoing discussions.
You can not only edit text but also insert docs in a group announcement. All group members can edit collaboratively and all the edits will be saved and updated on the announcement in real time. The group owner can also set “only the group owner can edit the group announcement” if needed.
2. Messaging and Docs sharing
Highlights: convenient, user-friendly, less unwanted notifications
Messages about different topics are often scattered in a chat and it is easy to lose track of the relevant conversation. On Feishu, you can reply to a specific message and all the replies to that message will be tied in time order in a thread. You can open the thread by clicking any one of the replies and continue discussion without being distracted by other messages.
When you only need to give a simple reply like "OK", "Got it", try quick emoji reaction instead. In group chats, all the emoji reactions to a message are displayed on the original message, and group members other than the sender of the message will not receive notifications for these reactions.
After sending a message, a small icon next to the message bubble will tell you the read/unread status. If the message is sent in a group chat, you can also view the specific members who have read the message and those who haven't to know if the message is delivered as expected.
You can recall a sent message within 24 hours. After the recall, the original message will be replaced by "This message has been recalled". In a group, the group owner can recall messages sent by group members.
If you need to share messages with members who are not in the current chat, you can multiselect messages and forward them to other chats.
You can send audio messages on your cell phone, or convert audio to text. You can also control the progress of the audio by dragging the seekbar thumb on each audio clip. Audio messages can be forwarded to other chats.
If you have urgent messages that need immediate response, you can Buzz it! Feishu provides three ways of Buzz: Feishu alert, SMS message, and phone call, to make sure your message can be delivered in time.
When you receive a message in a foreign language, you can translate it into a language you are familiar with easily. Feishu now supports translation between Chinese, English, Japanese and Thai.
Unlike plain text messages, a rich text message is like a post that can have a title, insert pictures, and add basic formatting to the message. It is a better way to integrate more information into a single message and make communication more efficient.
You can send both local files and Feishu Docs in a chat. When you send a Feishu Doc, Feishu lets you preview it and set doc permissions directly in the chat, such as granting edit permissions to group members so you can start co-editing the doc right away.
3. Sort and organize chats
Highlights: help prioritize conversations, reduce distractions, and stay focused
You can pin an important chat to QuickSwitcher, which is at the top of your chat list, so that you can quickly view and respond to it.
When you need to pay attention to a chat yet you don't have time to handle it immediately, you can mark it for later. All marked chats will be added to a folded list right below QuickSwitcher so you can easily find and go over them later.
Mark as Done
If you don’t want to be overwhelmed by too many chats, you can mark a chat that you no longer follow as Done so it will be removed from your chat list. The chat history will not be deleted and you can always reopen these chats at any time.
You can move some not-so-important group chats to Chat box. The chats will be muted in Chat box and you will get message notifications only when someone mentions you or Buzzes you in these chats. This helps reduce distractions and is easier for you to find these chats later.
You can turn off the notification of a chat. The new message number of the chat will display in gray and you won't get notifications for the new messages in this chat.
When you need to focus on something and don't want to be disturbed by other messages, you can turn on Do Not Disturb mode and set a duration as needed. On Do Not Disturb mode, you won't get message notifications except for Buzz alerts and audio/video calls.
Inbox bundles
Your inbox contains all types of messages you receive including messages from chats, Docs, and external contacts. They are bundled in the inbox so you can view them by category.
4. Mark and collect important information
Highlights: easy to find key information from tons of messages
You can Pin an important message to avoid it being drowned in a lot of other trivial messages. Anyone in a group can Pin a message. All Pinned messages are gathered in one place for easier access and visible to all group members.
You can add a message that you find valuable to your Favorites for later review.
You can quickly search for different types of information including contacts, groups, chat history, Docs, calendar events in Messenger, and use the filter to help find the exact information you need.
In addition to the features above, there are many other advanced features and best practices of Feishu Messenger that can help improve your team communication and efficiency with ease. Give it a try now!
