Manage multiple tasks effectively

Manage multiple tasks effectively

3 min read
Applicable scenario: Individual task management
Features: Docs, Calendar, Feishu Projects
When you undertake multiple tasks or participate in multiple projects, you might feel overwhelmed to manage your time. Sometimes you may even find your tasks repetitive or simply go nowhere. The following Feishu best practices can help you prioritize tasks, plan your time and align progress with your team in a timely manner. Therefore you can better manage your individual tasks effectively.
📑 Create a four-quadrant task list with Docs
Prioritize tasks
At the beginning of your day, you can list the to-do tasks in a doc. Prioritize your tasks and allocate your time accordingly, so as to ensure that you are working in the right direction and can keep up with the progress.
The four-quadrant framework is a popular way to prioritize tasks. Based on this framework, you can list your tasks as follows:

It should be noted that the "important" and "urgent" here are relative concepts, which should be considered in light of your job focus and your team's overall objective. Take "Unimportant but Urgent" as an example: colleague A is about to deliver a plan and asks everyone for advice in the group. Though this matter is urgent for A, it may not be of much significance to you, therefore you need to decide whether you should spare time to participate or just leave the task to other available members.
The four-quadrant framework can not only help you manage individual tasks, but also help manage team goals and tasks.
📆 Arrange time slots based on your schedule
Divide up your day into many slots
Time management and task management complement each other. After sorting out the tasks with the above four-quadrant framework, fill up your time slots on your calendar and set your status for certain slots to be "busy" so that other members can readily see when you are available .

Set a reminder for each task, such as "5 minutes before" to avoid being immersed in one task and delaying the progress of other tasks. Moreover, you can always be flexible and adjust the schedule according to the actual situation.

Of course, workplace is full of uncertainties, and you may need to adjust your schedule very often. However, dividing up your day into many slots can help you better manage various tasks, and meanwhile you can develop a clear sense about how much time you need to allocate to future tasks.
📲 Share docs with collaborators to keep up making progress
Be focused, but remember you're not alone
After sorting out individual tasks and time allocation, you need to align your progress with colleagues in a timely manner and avoid working behind closed doors. Apart from private chats, group chats and meetings, you can quickly align progress directly through documents.
For example, when you complete your plans and reports, you can directly invite your team members to read or co-edit, and then the members will receive notifications and give their feedback.

Insert your individual work documents directly into shared documents such as team's daily and weekly plan, so that other members can view your work. It should be noted that you need to sum up the main points in brainstorming sessions, meetings and so on, therefore everyone can be kept on track.
